This policy covers Message Scheduler, its Discord bot and the dashboard at dashboard.silk-websolutions.eu. It explains the information used to schedule messages and recurring role mentions.
Email Support@silk-websolutions.eu. Include your Discord user ID and, if relevant, the server ID and the information concerned. Never include your password or tokens.
1. Who operates Message Scheduler
Message Scheduler is operated by Silk Web Solutions, an independently run service based in the United Kingdom. The individual operator can be contacted at Support@silk-websolutions.eu.
We determine the use of account, operational and support information. Server administrators control the schedules and content they create for their communities. Their own choices may also affect your information; you can still contact us about data handled by this service.
2. Information used by the service
- Discord sign-in: your Discord user ID, username, avatar, email address, server-list information and relevant permissions. The current sign-in requests the
identify,emailandguildspermissions. - Authentication: Discord access and refresh tokens, token expiry and dashboard authentication tokens used to maintain authorised access. We do not receive your Discord password.
- Server settings: Discord server, channel and role identifiers and names, managed memberships, administrator assignments and permissions needed for selected features.
- Schedules and templates: message text, selected role mentions, destination channels, start and next-run times, repeat intervals, counts or end dates, categories and creator identifiers.
- Optional community features: calendar and event details, participant identifiers, birthdays, display aliases and attendance or game-related statistics where an authorised user submits them through an enabled feature.
- Activity and technical records: administrative changes, delivery outcomes, troubleshooting records, IP addresses, request times and browser or client information recorded for operation and security.
- Support: contact details and correspondence you send us.
Sources include you, authorised users of your Discord server, Discord’s API and your browser. Message text used for scheduling is supplied through the service; additional features may process the content you specifically submit to them.
3. Purposes and legal bases
- Sign-in and access control: identify the account and determine which servers and functions it can manage. The basis is providing the requested service or our legitimate interest in serving an authorised server administrator.
- Scheduling and delivery: store your chosen instructions, calculate repeat times and send messages or role mentions to Discord. The basis is providing the requested service; processing community information also depends on the administrator’s appropriate lawful basis.
- Optional features: provide the specific calendar, birthday, attendance or other community feature requested. Information should be submitted only with the necessary authority and, where required, consent.
- Security, diagnostics and support: investigate delivery failures, prevent misuse, maintain permission checks and respond to enquiries. The basis is our legitimate interest in maintaining a safe, functional service.
- Legal obligations: retain or disclose information where required by applicable law or needed for legal claims.
Without required authentication information, a user cannot access protected dashboard features. Optional content and integrations are choices. We do not use the service to make solely automated decisions with legal or similarly significant effects about people; automated permission checks may restrict access.
4. Who can see information
Discord receives the messages and role mentions you configure. People who can view the destination channel may see that content. Other authorised administrators may see the schedules, templates, settings and activity needed to manage their server.
Enabled public calendars and share links can make selected information available to people with the link or to the public, depending on the feature. Treat such links as a sharing decision and do not include information you do not intend those viewers to see.
Infrastructure providers process information as needed to operate the service. We may share necessary information when legally required or to address abuse and protect rights. We do not sell personal information, share Discord API data for unrelated purposes, or use Discord API data for targeted advertising.
Discord handles information under its own Privacy Policy. Information posted to Discord remains subject to Discord and the destination server’s controls.
5. Cookies and browser storage
The dashboard uses browser storage for its authentication token, selected server and preferences such as theme, language, time display and calendar filters. Optional game calculators or statistics features may keep submitted profiles or history in your browser. Sign-in may also use session cookies for the authentication flow.
Authentication storage supports sign-in; preference storage supports the choices you make. Logout clears the dashboard token, but it may leave preferences or other local information. Clear site data in your browser to remove it. Clearing an authentication token signs you out and does not by itself delete your server-side account or schedules.
The current dashboard loads fonts from Google Fonts and a styling script from the Tailwind CDN. Those providers receive technical request information, including an IP address and browser information, when your browser requests their resources. The standalone privacy and terms pages use locally hosted assets without those external requests.
6. Hosting and protection
The service is hosted on our infrastructure in France; related infrastructure and backup arrangements may involve the United Kingdom or Canada. Discord and other infrastructure providers may process information in other countries under their own arrangements.
Transfers of personal information requiring safeguards must use an applicable adequacy arrangement or another lawful mechanism. Contact us for details relevant to your information. Hosting location alone does not establish that safeguard.
We use access controls and appropriate service security measures. No system can guarantee absolute security. Contact us if you believe a token, account or personal information has been exposed.
7. Retention and deletion
- Account identifiers and integration credentials are retained while needed for authorised access to the service.
- Schedules, templates and server settings remain while the relevant feature is used, until an authorised user deletes them or a deletion request is processed. Pausing a schedule or reaching its end does not necessarily delete its stored content.
- Optional community records remain until removed through their feature or an applicable deletion request is processed.
- Logs and support records are retained only while necessary for diagnostics, security, an ongoing request or a legal requirement. Backup copies are used for recovery and must be deleted or expire through replacement when retention is no longer necessary; required deletions must be reapplied after restoration.
There is no single automatic expiry period for every data category. The criteria are whether the information is still needed for the stated feature, a current security or support issue, recovery or an applicable legal obligation.
Removing the bot, revoking Discord authorisation or logging out does not automatically erase all stored records. Delete schedules through the dashboard where available, or email Support@silk-websolutions.eu to request account, server or Discord API data deletion. We may verify that you are entitled to request the change. Discord API data must be deleted promptly when no longer needed for permitted functionality or when a valid user or Discord deletion request applies, except where law requires retention.
Deleting our records does not remove messages already delivered to Discord, copies retained by recipients or independent server records. Use Discord’s own controls or contact the server administrator for those copies.
8. Your rights and choices
Depending on applicable law and the processing involved, you may request access, correction, deletion, restriction or a portable copy of data you supplied. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing.
You may object to processing based on legitimate interests. Explain the processing and your circumstances when contacting us.
Send requests to Support@silk-websolutions.eu. We respond within the period required by applicable law, usually one month under UK data protection law, and explain any permitted extension. You may complain to the UK Information Commissioner’s Office or your relevant local authority.
9. Younger users
Users must meet Discord’s minimum age for their country. The service is not intended for children under 13. Do not submit children’s information without an appropriate lawful basis and any legally required permissions. Contact us if you believe such information has been submitted inappropriately.
10. Changes and contact
We will update this policy when relevant data use changes and communicate material changes through the service or another appropriate channel. New features involving materially different information need updated privacy information before that processing begins.
